Every copier and printer on a managed print contract reports meter readings — page counts that drive monthly billing. For most office technology dealers, collecting those readings is a manual, tedious process: open the email, find the serial number, look up the equipment, type in the numbers. Repeat dozens of times per day.
At AOP, we decided to build something better.
The Problem: Manual Meter Collection Doesn't Scale
Our copiers and printers send automated meter reading emails to a shared mailbox. Customers also reply to our meter request emails with their readings — sometimes in the email body, sometimes as a photo of the display, sometimes as a PDF attachment.
Before automation, our team manually processed every one of these emails:
Open each email
Sort through meter readings, toner alerts, spam, and customer replies to find the actual data.
Identify the serial number
Every copier reports differently. Some emails are structured, some are plain text, some have the reading buried in an attachment.
Look up the equipment
Find the matching equipment record in our ERP system by serial number. Confirm the customer. Confirm the meters are active.
Type in the reading
Enter the black & white count, color count, and scan count — one by one. Hope you didn't transpose a digit.
With hundreds of devices under contract, this consumed 10+ hours every week. And despite best efforts, the error rate hovered around 5% — typos, wrong serial matches, and duplicate entries that occasionally caused customers to receive incorrect invoices.
Incorrect billing erodes trust. We needed a better way.
The Solution: An Automated Meter Reading Pipeline
We built an intelligent pipeline that monitors our meter reading mailbox, automatically extracts readings from incoming emails, validates the data against our billing system, and inserts the readings — with zero human intervention for clean submissions.

Here's what makes it work:
1. It Understands Multiple Email Formats
Copiers don't all speak the same language. Ricoh devices send one format. Konica Minolta sends another. Kyocera has its own structure entirely. And customer replies? Those come in every format imaginable — from neatly structured tables to "hey our copier says 45,234 pages."
Our parser recognizes three distinct email formats and knows how to extract the right data from each one. It handles automated copier reports, Kyocera event emails with paper-size breakdowns, and free-form customer replies.
2. It Can Read Attachments
When a customer replies to our meter request with a photo of their copier's display panel or a PDF report, the system doesn't give up. It downloads the attachment, runs OCR (optical character recognition) to extract the text, and parses the readings from the extracted content.
PDF reports, photos of meter screens, scanned documents — the pipeline handles them all.
3. It Validates Before It Enters
This is where automation earns its keep. Before inserting any reading, the system runs validation checks that a human might skip when rushing through a stack of emails:
Validation Rules
- No rollbacks: Meter readings only go up. If the new reading is lower than the last one, something is wrong.
- No impossible jumps: If a reading is 10x higher than the previous one within 30 days, it's flagged as a likely typo.
- No duplicates: If the same equipment already has a reading entered for today, the system skips it instead of creating a duplicate billing entry.
- Equipment verification: Every serial number is matched against our database. Unknown serials are flagged for review.
These checks catch errors that manual entry misses — and they run every single time, without exception.
4. It Reports What It Did
After each run, the pipeline posts a detailed report to our internal Teams channel. The team sees exactly what was processed, what was flagged, and what needs attention — all before anyone arrives at the office.
